Document Manager - Industrial Engineering Projects
Job Description
Our client is seeking an experienced Document Manager to oversee the full lifecycle of project documentation for large-scale industrial engineering projects within their office in Montreal, QC. In this role, you will ensure that all engineering, procurement, construction, and project management records are properly formatted, tracked, stored, and distributed according to project standards.
This role provides the opportunity to establish document management procedures, maintain documentation systems, and support compliance and governance across complex project organizations.
Responsibilities:
Documentation Governance & Procedure Development
Develop, implement, and maintain document management procedures, including workflows, templates, naming conventions, numbering systems, and classification structures.
Ensure compliance with project, client, and corporate documentation standards.
Train project teams, contractors, and external partners on documentation processes and tools.
Document Management & Control
Oversee all incoming and outgoing project documents, ensuring accurate logging, coding, revision control, and status tracking.
Manage document formatting, numbering, metadata, and classification for technical and non-technical records.
Maintain version control and manage distribution and recall of controlled documents.
Document Processing & Workflow Coordination
Coordinate review and approval cycles for engineering deliverables, vendor documents, specifications, drawings, procedures, and correspondence.
Monitor workflow performance and follow up on outstanding actions.
Ensure obsolete or superseded documents are removed from circulation.
EDMS Administration
Manage and administer EDMS platforms such as Aconex, ProjectWise, SharePoint, or Documentum.
Configure project folders, permissions, metadata, and workflows.
Provide troubleshooting, user onboarding, and compliance support.
Archiving & Records Management
Ensure proper archiving, retention, and lifecycle management of all project documents.
Maintain structured digital and physical archives.
Prepare documentation packages for handover to construction, commissioning, or operations.
Quality, Compliance & Audit Support
Conduct periodic documentation audits.
Ensure document traceability, revision histories, and approval logs.
Support QA/QC processes and internal/external audits.
Reporting & Stakeholder Support
Generate weekly and monthly document status reports and dashboards.
Provide support to project leadership and discipline managers on documentation needs.
Report on document progress, bottlenecks, and compliance.
Requirements
Minimum 5 years’ experience in document management or document control within large-scale industrial engineering or infrastructure projects.
Proven experience developing and implementing document control procedures, numbering systems, and classification structures.
Strong understanding of engineering documentation, including drawings, specifications, datasheets, correspondence, and technical records.
Proficiency in EDMS platforms (Aconex, ProjectWise, Documentum, SharePoint).
Strong organizational skills and attention to detail.
Excellent communication and coordination abilities.
Ability to manage high volumes of documents under tight deadlines.
Experience in preparing turnover or handover documentation.
Knowledge of regulatory requirements for documentation retention.
Experience in EPC project environments is a strong asset.
Familiarity with ISO documentation standards is a strong asset.
Certifications in document control or records management.
