Job Description

Our client is seeking a Project Coordinator to support the successful delivery of construction and design engineering projects within their office in Montreal, QC. In this role, you will coordinate schedules, documentation, communication, and progress tracking across multidisciplinary teams. This role offers hands-on experience with large-scale industrial, infrastructure, and engineering projects, helping ensure high-quality outcomes for clients. The Project Coordinator works closely with and reports directly to the Project Director for key project updates, governance, and escalation needs.

Responsibilities:

  • Project Planning & Support

    • Assist in preparing project execution plans, schedules, and progress trackers.

    • Coordinate project activities, submittals, and interdisciplinary workflows.

    • Maintain project documentation, including drawings, RFIs, transmittals, change logs, permits, and reports.

    • Track scope, cost, risks, and milestones to support the Project Director.

    Communication & Coordination

    • Act as a central communication link between engineering teams, construction supervisors, contractors, and clients.

    • Organize and lead coordination meetings; prepare agendas, minutes, and action logs.

    • Provide structured reporting and updates, including status summaries, risk escalations, and decisions required.

    Resource & Schedule Management

    • Update master schedules, track progress, and identify variances.

    • Coordinate material tracking, vendor deliverables, and site resource planning.

    • Support logistics and sequencing for site activities.

    Document Control & Reporting

    • Manage controlled documents, versioning, transmittals, and approvals.

    • Prepare weekly and monthly progress reports, dashboards, and presentations.

    • Maintain project records in compliance with quality, audit, and governance standards.

    Risk, Issue & Change Tracking

    • Log project issues, risks, and change events.

    • Support mitigation planning, escalation, and decision-making with the Project Director.

    • Track closure of corrective actions and pending approvals.

    Administrative & Operational Support

    • Support procurement processes including RFQs, POs, and vendor coordination.

    • Assist with onboarding project personnel and orientation.

    • Ensure adherence to company standards, construction safety guidelines, and engineering procedures.

Requirements

  • Bachelor’s degree in Engineering (Civil, Mechanical, Electrical, or related discipline).

  • Minimum 5 years of professional experience, including 2+ years in a project coordination role within construction or design engineering projects.

  • Solid understanding of construction workflows, engineering deliverables, and project lifecycle processes.

  • Proficiency with project management tools (MS Project, Excel, SharePoint, or similar).

  • Strong organizational, document control, and time-management skills.

  • Excellent communication and stakeholder coordination abilities.

  • Ability to operate effectively in fast-paced, multidisciplinary project environments.

  • Experience on large-scale industrial or infrastructure projects (energy, utilities, transportation, manufacturing) is an asset.

  • Familiarity with advanced project management systems (Primavera P6, BIM, engineering document platforms).

  • Experience with contract administration, cost control, or change management is an asset.

  • Knowledge of construction site practices, permitting, or QA/QC systems.

  • Professional certifications (CAPM, PMP, or equivalent) are an asset.

  • Experience coordinating multi-contract or multi-discipline execution teams.
