Job Description
Our client is seeking an Executive Assistant to provide high-level administrative and operational support to senior leadership. This role goes beyond traditional executive support, playing a key part in maintaining operational efficiency, supporting internal processes, and enhancing the overall employee experience.
The successful candidate will act as a central point of coordination across leadership, operations, and internal teams, ensuring day-to-day activities run smoothly while contributing to broader organizational initiatives. Responsibilities:
Provide direct administrative support to senior leadership, including calendar management, meeting coordination, and communication management
Prepare materials for meetings, presentations, and reports, and support follow-ups as required
Manage travel arrangements, correspondence, and confidential information with discretion
Oversee day-to-day office operations, including vendor coordination, supplies, and workspace management
Support the implementation and improvement of operational systems and processes (e.g., travel systems, booking tools, office infrastructure)
Assist in budgeting and financial tracking related to office operations and expenses
Monitor and manage payments, expenses, and administrative processes to support operational efficiency
Collaborate with HR and leadership to support employee experience initiatives and internal engagement
Identify opportunities for process improvements and support implementation of operational enhancements
Support planning initiatives such as office moves, workspace planning, and internal projects as required
Assist in identifying and addressing operational risks, compliance considerations, and workplace needs
Requirements
5+ years of experience in an Executive Assistant or similar senior administrative role
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
Experience supporting senior leadership and working across cross-functional teams
Strong communication skills with the ability to handle sensitive and confidential information
Experience supporting office operations, budgeting, or internal process improvements is an asset
High attention to detail with strong problem-solving and decision-making capabilities
Proficiency in Microsoft Office and collaboration tools
