Job Description

Our client is seeking an Executive Assistant to provide high-level administrative and operational support to senior leadership. This role goes beyond traditional executive support, playing a key part in maintaining operational efficiency, supporting internal processes, and enhancing the overall employee experience.

The successful candidate will act as a central point of coordination across leadership, operations, and internal teams, ensuring day-to-day activities run smoothly while contributing to broader organizational initiatives. This is an opportunity to step into a dynamic role that blends executive support, office operations, and business coordination within a fast-paced environment.

Responsibilities:

  • Provide direct administrative support to senior leadership, including calendar management, meeting coordination, and communication management

  • Prepare materials for meetings, presentations, and reports, and support follow-ups as required

  • Manage travel arrangements, correspondence, and confidential information with discretion

  • Oversee day-to-day office operations, including vendor coordination, supplies, and workspace management

  • Support the implementation and improvement of operational systems and processes (e.g., travel systems, booking tools, office infrastructure)

  • Assist in budgeting and financial tracking related to office operations and expenses

  • Monitor and manage payments, expenses, and administrative processes to support operational efficiency

  • Collaborate with HR and leadership to support employee experience initiatives and internal engagement

  • Identify opportunities for process improvements and support implementation of operational enhancements

  • Support planning initiatives such as office moves, workspace planning, and internal projects as required

  • Assist in identifying and addressing operational risks, compliance considerations, and workplace needs

Requirements

  • 5+ years of experience in an Executive Assistant or similar senior administrative role

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment

  • Experience supporting senior leadership and working across cross-functional teams

  • Strong communication skills with the ability to handle sensitive and confidential information

  • Experience supporting office operations, budgeting, or internal process improvements is an asset

  • High attention to detail with strong problem-solving and decision-making capabilities

  • Proficiency in Microsoft Office and collaboration tools
