Joint Venture Administrator (Part-Time)

Job Description

Our client is seeking a Joint Venture Administrator (Part-Time) to support the administration, accounting coordination, and ongoing management of operated and non-operated joint venture interests. This role will work closely with the accounting, land, production, operations, and finance teams, as well as external working-interest partners.

The ideal candidate will have experience within the Canadian oil & gas industry (Upstream environments), with a strong understanding of joint venture processes, partner relationships, and the flow of information between operations and accounting.

Responsibilities:

Joint Venture Administration

  • Maintain accurate records of working-interest and joint venture partner information.

  • Set up and maintain joint venture properties, partners, ownership interests, and billing information within internal systems.

  • Prepare and distribute joint venture billings, statements, and supporting documentation.

  • Process and monitor partner invoices, payments, adjustments, and account balances.

  • Respond to partner inquiries and resolve discrepancies in a timely manner.

  • Maintain JV documentation, correspondence, agreements, and supporting records.

Joint Venture Accounting Support

  • Coordinate with accounting teams to ensure accurate recording and allocation of JV transactions.

  • Review invoices and expenditures for appropriate working-interest allocations.

  • Assist with monthly and year-end close activities related to joint venture accounts.

  • Reconcile JV receivables/payables and investigate outstanding balances.

  • Assist with cash calls, revenue distributions, expense recoveries, and partner settlements where applicable.

  • Support the preparation of account reconciliations and audit documentation.

Partner & Internal Coordination

  • Act as a key point of contact for joint venture partners regarding billing, payments, ownership, and account inquiries.

  • Work closely with Production, Operations, Land, Revenue, AP, AR, and Financial Accounting teams.

  • Coordinate information required for partner audits and internal/external reporting.

  • Communicate changes to ownership, agreements, well status, expenditures, and other relevant JV information.

Data & Reporting

  • Maintain accurate JV master data and ownership information.

  • Prepare recurring and ad hoc JV reports and analysis.

  • Track outstanding partner balances, exceptions, and discrepancies.

  • Identify and assist with resolving data or process issues.

  • Ensure documentation and records are maintained in accordance with company policies.

Requirements

  • 5+ years of experience in joint venture administration, joint venture accounting, oil & gas accounting, or a related energy accounting function.

  • Previous experience within the Canadian upstream oil & gas sector strongly preferred.

  • Understanding of working interests, operated/non-operated properties, joint venture billing, and partner accounting.

  • Strong Excel skills and experience working with accounting/ERP systems.

  • Experience with systems such as JDE, SAP, Dynamics, OpenInvoice, P2 Energy, Enertia, or similar is an asset.

  • Strong attention to detail and ability to manage high volumes of transactional information.

  • Excellent communication and relationship-management skills.

  • Ability to investigate discrepancies, follow transactions through to resolution, and work across multiple departments.

  • Accounting education or designation progress (CPA, accounting diploma, etc.) is an asset but not required.
