Senior Administrative Assistant - Edmonton

Job Description

Our client, a well-established professional services firm, is looking for an experienced and organized Senior Administrative Assistant to support their growing team. This position plays a key role in ensuring operational efficiency across multiple departments. Responsibilities:

  • Contract Administration: Assist with prime and sub-consultant contracts, including document preparation, execution through DocuSign, and tracking key milestones.

  • Geomatics Team Support: Coordinate meetings, prepare reports, and assist with documentation to support the Geomatics team.

  • Cell Phone Plan Management: Administer the company’s corporate mobile plan—managing device orders, plan adjustments, and resolving service issues.

  • Employee Onboarding/Offboarding: Support employee transitions by coordinating orientation, handling documentation, and managing company property and records.

  • Community & Sponsorship Coordination: Track and manage sponsorship and donation requests while ensuring proper follow-up and internal communication.

  • Event Ticket Coordination: Oversee the distribution of sports and arts tickets and maintain an internal calendar for employee access.

  • Reception & Office Support: Provide front-desk coverage and manage supplies, calls, mail, and general office upkeep.

  • Travel Arrangements: Book and coordinate travel for staff as required.

Requirements

  • 5–10 years of experience in an administrative support role

  • Strong organizational skills and attention to detail

  • Ability to manage multiple priorities effectively

  • Proficiency with Microsoft Office Suite

  1. Preferred Qualifications

    • Excellent verbal and written communication skills

    • Previous experience in contract and corporate plan administration

    • Background in an engineering or consulting environment is an asset

    • Ability to pass a background check

  2. Working Environment

    • Full-time (40 hours/week)

    • In-office presence required, Monday to Friday, 8:00am – 5:00pm (1-hour lunch break)

    • Must be comfortable lifting up to 25 lbs and working at a desk for extended periods
