Job Description
We are seeking a dynamic and experienced Litigation Legal Assistant with a minimum of 4 years of experience to join our client’s team in Calgary, Alberta. team. The ideal candidate will possess the ability to independently manage the daily activities of their assigned lawyer(s) and demonstrate a strong work ethic. We are looking for someone who is collaborative, professional, adaptable, and passionate about their work. The role involves working from 8:00 a.m. to 4:00 p.m., with occasional pre-authorized overtime to meet the client’s needs. Hybrid remote work arrangements are available, with in-office support required as per business needs. The ideal will be a self starter who values working in a collaborative team based environment.
Responsibilities:
Handling all administrative duties such as email and calendar management, coordinating meetings, making travel arrangements, etc.
Assisting other legal assistants and paralegals in the Litigation department with various administrative tasks and providing backup coverage in the absence of other assistants.
Preparing and maintaining a bring-forward system, as well as providing appropriate reminders.
Under legal professional supervision, preparing legal documents and correspondence according to precedents and/or instructions (drafting letters, revising draft documents, and preparing document comparisons).
Transcribing digital dictation.
Entering time dockets.
Liaising with Billing Coordinators for the monthly production of accounts.
Ensuring all physical and electronic filing is organized and up to date on a regular basis.
Delegating tasks to, and coordinating with, other administrative departments.
Other duties, as assigned by lawyers, practice group leaders or management.
Requirements
Completion of an accredited post-secondary Legal Assistant course. (A combination of equivalent legal assistant experience and/or education may be considered).
A minimum of three (3) to seven (7) years’ experience as a legal assistant is required, preferably with experience in another large Firm.
A minimum of three (3) years experience working in Labour & Employment Litigation is required.
Experience and a strong understanding of the courts process, as well as the higher levels of court (Federal, Court of Appeal), are considered an asset.
In-depth understanding of business and legal terminology.
Solid computer and typing skills; proficiency in MS Office 365, Excel, Power Point, iManage DMS, Adobe Pro, etc.
Proficiency in finding and interpreting relevant labor regulations, case law, and legal precedents that specifically impact employment matter.
Familiarity with specific procedures for employment-related cases.
The following would be considered an asset: preparing and submitting filings for Alberta Human Rights Commission (AHRC) cases, handling hearings and filings with the Alberta Labour Relations Board (ALRB) and managing filings related to the Canadian Industrial Relations Board (CIRB).
